People: Managing Your Functions, Locations and Organisations

As you add people and plans to your account you will start to build up a list of functions, locations and organisations. Each time you choose “Other…” from a drop down list the name that you enter is added to the master list for your account. The Functions, Locations and Organisations pages allow you edit these lists.

Functions and organisations are the simplest of the three lists.

The functions page lists all of the functions in your account and how many people have been assigned to that function. You can choose to rename a function, move everybody in that function to a different one or delete the function entirely. If you delete the function you will be asked where you would like to move everybody in the function to.

Functions apply to both people and positions in a plan. You can only edit a function if it is not linked to a person or position that you don’t have access to. Account administrators can edit any function regardless.

Organisations work in exactly the same way as functions.

The list of locations is slightly more sophisticated as you can add more information to a location than just its name.

Geocoding Your Locations

Geocoding a location is the process of specifying exactly where in the world the location is based. We use this information to calculate how far apart locations are and whether there are any relocation opportunities available.

Because countries and territories tend to cover large areas of land it is not possible to geocode them accurately. You can’t place a pin on a map and say that this is exactly where Europe is for example. For this reason we recommend that you define your locations as the actual sites or buildings where your organisation is based.

  • Corporate Headquarters, San Francisco, USA
  • Manufacturing Plant B, Birmingham, UK

To geocode a location go to your list of locations and click on the name of the locations that you would like to edit. Enter the address or postal code of the location and click on “Locate On Map”. The map will then place a marked on the map where you specified. If more than one location was found matching your address you will be prompted to choose which location.
